The FMIS Accounts interface allows the user to see account balances for both Program Codes and Limitation Types. This is important because it allows the user to validate that sufficient funds are available before saving and submitting a new authorization request to avoid exceeding account limits. This tool can be accessed by clicking on the FMIS tab on the Main Menu. Only users with the FMIS Administrator security role will have this option available.
When "FMIS Accounts" is selected in the picklist, its interface will appear on the screen.
This interface primarily consists of a table that displays account balances. It describes the account balances using these column types: Program Code, Limitation, Year, Transaction Date, Transaction Type, Prior Balance, Transaction Amount, New Balance, Comment, Federal Project Number, Version, Created By, Status, and Actions. This table can be filtered using the three fields above the table:
| Field | Description |
| FFY | A list of Federal Fiscal Years (FFY). |
| Account Type | A picklist where the user can choose between Limitation and Program Code. This determines the content of the third field. |
| Limitation Account/Program Codes | Once an Account Type is selected, this field will display as follows:
|
In the top right above the table, the user can view the Last Refreshed date from FMIS. This information is read-only and used to denote the last date data was successfully imported and updated in the system.
Edit Rows
The rows will be read-only if the Transaction Type equals Obligation Request. For any other Transaction Type, the row will have two icons available in the "Actions" field.
| Icon | Description |
| Edit Transaction ( | Once selected, a pop-up will appear for the user to edit specific values (Transaction Date, FFY, Account Type, Limitation Account, Transaction Type, Transaction Amount, and Comment). |
| Delete Transaction ( | Once selected, a warning message will appear: "Are you sure you want to delete this transaction?" The user can confirm this message to delete the transaction. |
If the edit icon is selected, the pop-up below will result. Once values are edited, the "Save" button will appear on the pop-up to allow the user to solidify the new values.
Add New
For users with the Manage FMIS Accounts permission, there will be an available "Add New" link in the bottom left corner that allows the user to add transactions.
Once selected, the "Add FMIS Transactions" pop-up will appear; this pop-up has the same fields as the "Edit FMIS Transactions" pop-up. The Transaction Date, FFY, Account Type, Transaction Type, and Transaction Amount fields must have values before the "Save" button will appear. After saving, the added transaction will appear at the top of the table.
