The Fund Sources interface will provide the ability to create and modify Fund Sources used for project programming in the application. This tool can be accessed by clicking on the Administration Menu icon on the Utility Bar. Only users with the System Administrator security role or users assigned a role that includes the Manage Fund Sources permission will have this option available.
When "Fund Sources" is selected in the picklist, its interface will appear on the screen.
On the left side, the user can view a table listing each Fund Source in the system. The three radio buttons above the table allow the user to easily filter the table to display All, Active, or Inactive Fund Sources. These columns appear on the table, regardless of the displayed Fund Sources:
| Column | Description |
| This icon will appear beside each row in the table to allow the user to click, drag, and drop the entry into a different position. This alters the Display Order that the system will use to display the Fund Source list. | |
| Fund Code | This is an abbreviation for the Fund Source. |
| Fund Name | This is a descriptive name for the Fund Source. |
| Active | This showcases whether the Fund Source is Active (checkmark) or Inactive (no checkmark) within the application. |
To view more information about a Fund Source, the user can click on its row in the table. Then, the Detail window on the righthand side will be filled with its information. This area will include the Fund Name and a delete icon () in the header, and these fields below:
| Field | Description |
| Fund Code | This text field allows the user to enter an abbreviation for the Fund Source which will be used in the Fund Source picklist on the Project Detail interface. It must be unique. |
| Active | This button allows the user to toggle the status of the Fund Source between Active and Inactive. Only Active Fund Sources will be selectable in picklists throughout the application. |
| Fund Name | This text field allows users to enter a name for the Fund Source. |
| Fund Description | This text field allows users to enter a description for the Fund Source. |
| Fund Type | This picklist designates whether the funding is Federal, State, or Other. It defaults to Federal. |
| Fund Subtype | This picklist designates the subtype for the Fund. The subtypes available are determined by the selected Fund Type. |
| Project Modes | This multi-select picklist allows the user to associate Modes to the Fund Source. This value will be used to filter Fund Sources available to a project. When multiple Modes are selected, they will be displayed as tags in the result field. If this field is left blank, the Fund Source can be used on any project. |
| Parent Fund ID | This picklist allows the user to group funds together for reporting purposes. It will contain all Fund Sources with no programmed obligations that are not already designated as a subfund with the same Mode and Fund Subtype selected. |
| Start Year | This calendar select field allows the user to designate the first year that the Fund Source can be used. This will prevent a Fund Source from being used in the Projects interface for a year in which it is not eligible. |
| End Year | This calendar select field allows the user to designate the last year that the Fund Source can be used. Entering an End Year will have no effect on previous years but will make the Fund Source obsolete for the selected year forward. This will prevent a Fund Source from being used in the Projects interface for a year in which it is not eligible. |
| Default Match % | This decimal field allows users to enter a default match percentage for the Fund Source when the Fund Type = Federal; otherwise, this field will be set to zero and disabled. |
| Auto Set Budget | This field allows the user to designate whether the Budget for the Program should be auto set by the system (Yes/No). If "Yes" is selected, the Budget for the Fund Source will be set equal to the Programmed Obligations for the Fund Source and Year. |
Edit Fund Source
To edit the Fund Source, the user can click into the desired field in the Detail window and edit it based on the field type:
- Textbox - type new values
- Picklist - select new values
- Calendar Select - select new dates
Once a change is made, the "Save" button will appear to allow the user to save the new values. Alternatively, the user can revert the changes to their original values through the available "Cancel" button.
Add Fund Source
The "Add Fund Source" button above the Fund Sources table allows the user to create a new fund source. After selecting this button, the Detail window will be cleared, so the user can enter information about the new Fund Source. All fields are editable when creating a Fund Source. Once the user has at least filled all required fields (Fund Source, Fund Name, Fund Description, Fund Type, Fund Subtype, Project Modes, and Start Year), they can select "Save" to create the Fund Source and place it in the table. New Fund Sources will automatically be added to the bottom of the table, but the user can update the Display Order by using the icon to drag the Fund Source to a different position.
